Communication with Clubs

 

It was agreed that the committee will post letters to all club members (not just club secretaries) in February to encourage more committee volunteers.

 

Nicki has a 2005 list of all club members, of clubs affiliated to Waterside league.  Roz to approach Badminton England to see if there is a more utd 2006 list and let Nicki/Patti know.

 

Patti to create a mail merge and draft a letter with the aim of sending out in February.

‘Waterside Rave’/Presentation Evening

 

Margaret presented prices for 3 locations-

New Forest , Ashurst; Dibden Golf Club; Southampton Park Hotel

 

Agreed New Forest – price approx. £150 for DJ and £15.95 for 3-course meal.  7.30/8.00pm-midnight on 19th May 2007.

 

Committee to pay for DJ and sell tickets for £16 each, raffle also to be run in addition.  Possible donation of prizes from clubs and/or donation of proceeds to local charity or offer cash prize to one of the clubs.

 

Margaret to book venue.  Letter will be needed from Roz, Margaret to advise when this is required.

Coaching Funding for League Clubs

 

Roz advised that we would need to charge £18-£25 a head if we hired 6 courts at Westgate for 20 participants.  This includes consideration of £60 Hampshire Badminton donation towards costs.

 

Possible that Sue would be able to negotiate £175 for 6 courts at Applemore.  Although this is more expensive than Westgate the general consensus that we should try and arrange in a local venue to attract more clubs.

 

Mark to speak to Houndsdown for prices.

 

Roz to speak to Hampshire Badminton to check if we can use alternative location; consider 2 x 3hr sessions for 2 groups on 4-6 courts (depends on venue), or just 1 x 3hr session.

 

Would like to arrange this for May/June 2007.

Tournaments

 

Agreed the best way is to arrange a mixed tournament split into 3 divisions, with the 2 winning teams from each division going forward to the final.

 

Play 1 game to 21 (old scoring system) changing ends at 11.

 

Want to arrange for a Sunday end of April/early May 2007.

 

Sue to draft a tournament wording (re. teams/ranking etc) for discussion.  6 courts to be provisionally booked at Applemore.

Registering of Players

 

Agreed as per constitution – can register a player as long as club phones Nicki prior to the match starting and as long as payment is received within 7 days of the match.

 

Nicki advised that Matchpoint still haven’t paid all their registration fees.  Nicki to request payment by 1/12.

Changes to Constitution

 

SCORING (section F)

Agreed that the committee will propose a change to the new scoring system.  This will need to be put to a vote at the AGM.

- draft a proposed amendment to the constitution (Section F -  Match Format 2.2)

 

REARRANGED MATCHES (Section E)

Next season clubs may not rearrange matches with the following exceptions:-

1)      inclement weather

2)      problem with the weather

3)      any other reason at the discretion of the committee

- draft a proposed amendment to constitution (Section E – add 3.0)

Fours League (mixed)

 

Mark suggested as some clubs are struggling to put together a team of 6, then we could also run a ‘fours league’ in addition to the normal mixed league. 

 

Committee to ask clubs for their opinion – Mark to draft a wording.

Website details are out of date.

 

CLUB INFORMATION

Mark would like to visit the various clubs and take photographs/get basic info that we can post on our website.  Also suggested we should publish any photos of forthcoming tournaments/socials.

 

CLUB E-MAILS

Patti has e-mail addresses for all clubs (not necessarily club secretaries), will forward to everyone for info.

 

COMMITTEE MEETINGS

- Can we publish minutes of meetings on the website (once they’ve been agreed)?

- Add blog to website following meetings to let clubs know minutes are available and date of next meeting.  Club members may attend on request to Secretary (Roz).
